Access – Loading & Unloading
The Messe Berlin require anyone loading and unloading directly in and out of the venue to abide by the BBWF Traffic Guide. This guide details how the Messe require a deposit and a time allocation (generally of two hours) when delivering goods. All companies who require access must leave this deposit to agree they will be in and out of the loading bay within the allotted time period they have scheduled. Should you need more than the standard two hours please get in touch with the logistics@messe-berlin.de.
With this in mind we highly recommend you use Exhibition Freighting to minimise the chance of losing your deposit. Please see full contact information for Exhibition Freighting in the services section of this manual.

The Business Centre on the Exhibition Grounds at the Messe berlin is located in Großer Stern, 3. Floor, Entrance: Hall 20/21. The center is open daily in accordance with the organizers opening hours.

Car Parking for Private Cars
Our traffic guidance system takes you directly via the city motorway system to the intersection at "Autobahn Dreieck Funkturm". At this junction, take the "Messedamm" exit.
A total of 12,000 parking spaces are available on and around the grounds. The multistorey car park of ICC Berlin has additionally opened outside the event times. During major events a free shuttle bus will take you from your car to the exhibition grounds and back.

Children
No access for children during builds up and break down.
Access during the show time – minimum age 16. If under 16 only with accompaniment of an adult.
Cleaning
Broadband World Forum is a very busy event and as a result litter can accumulate. It is your responsibility to keep your stand clean throughout the event. All gangways and public areas will be cleaned each night. We ask that any rubbish be placed in a rubbish bag and left within the aisle at the end of each day for the cleaning team to dispose of.
The venue will provide general vacuum for all booth floor carpet after daily activities. Should you wish to order additional cleaning services for your stand itself please use the BBWF Stand Cleaning Order Form and send the completed form to fair-service@messe-berlin.de
Please note space only stands will need to arrange their own cleaning and cleaning is not included.
Competitor Policy
Please note your competitor may also be at the event and located near you. If you want to find out who is located near you or discuss this further, then please contact your account manager.
Damage
Exhibitors are responsible for the cost of the repairing and/or replacing any damage to the venue, whether caused by themselves, their agents, contractors, sub-contractors or by any person’s employment or engaged on their behalf. Any exhibitor found damaging the walls, carpets and/or any structure on the property will be charged with the replacement value of such items.
Deliveries - Shipping to BBWF 2017
Please note, KNect365 cannot be responsible for accepting or receiving any shipments on the exhibitor’s behalf.
We also do not recommend sending the shipment direct to your stand as the venue, Knect365 or Exhibition Freighting GSM will not sign for the goods on your behalf. If you chose to do this, you must be onsite to receive and sign for the shipment yourself at the time it arrives.
We strongly recommend the use of the Official Freight Forwarder / Onsite Handler, Exhibition Freighting G.S.M. for any shipping or exhibit handling requirements. They can provide services to collect your shipment from your premises and deliver to you stand, or receive it in Berlin at the advance warehouse prior to the event. Please contact EF-GSM for details of the warehouse address and the applicable handling charges.
Please ensure you have all the tracking numbers and details of your shipment with you at BBWF, so you may pursue this if there are any problems with your shipment / delivery.

Duration
All exhibitors must staff their stand throughout the event open times. Failure to comply may result in a penalty charge being levied.
Emergency & Fire Procedures
Evacuation Procedures
An evacuation of one or more halls will be required in situations, when persons might be in danger as a result of an emergency, such as fire or technical disturbances. Depending on the situation the evacuation can be a total or a partial one. The decision for an evacuation is being made by Messe Berlin emergency management together with the event organizer or by the supervisors of the fire brigade or police. In the event of an evacuation an announcement will be heard within the halls concerned, in addition to that the participants are asked to leave the building by security staff.
- Please stay calm!
- Leave the halls directly by using the green marked exits.
- Help other persons that can’t help themselves (i.e. disabled persons)
- Don’t use elevators!
- Follow the instructions of the staff.
- Go directly to the assigned meeting point, you will be directed by the staff

Exhibiting Rules and Regulations
No stand build or exhibition item and or elements of can exceed 3m in height without prior written consent from the Operations Team and an a RSE report will be required from local contractor. If you think that your stand will be higher than 3m please contact the Operations Team as soon as possible. Stands which exceed 3m in height without prior consent will not be allowed to proceed at the event.
Exhibitors must conduct all business from their stand, i.e. not in the aisle or in public areas. This includes handing out literature and other promotional materials. No rigging or suspended banners will be allowed without prior written approval from the Operations Team.
Your participation in the event is at your own risk, in every aspect, including damage to or loss of exhibits from any cause and at any time.
Please look after the venue and take care when building and breakdown your stand. It is not permitted to screw, glue, paint or in any other way cause damage to buildings or equipment. If you damage the interiors/ building components, we will be obliged to invoice you accordingly.
If you fail to remove stand materials and your own carpets from the stand, we will ensure that they are removed and environmentally sorted. You will be invoiced for this service.
Tradesmen who paint your stand must use the rinse basins provided for cleaning brushes etc. Also, remember to lay protective covering on the floor, so that carpets and floors are not damaged by paint etc.
Make sure that your stand build-up and exhibition materials remain within the stand area during the exhibition for the sake of cleaning, escape routes etc.
Avoid lights, sounds, smells etc. which can irritate your neighbors. This also applies to the distribution of products/food which require extra cleaning of the aisles. If you have to play music/ show films, then remember to inform your neighbors about which sound demos you will be carrying out as well as when and for how long.
Vehicle maximum permissible speed limit in the Centre is 15km/h. Do not walk on vehicle road when walkways are demarcated.
Furniture
Furniture is not included in your stand package unless otherwise stated in the Stand Package section of this manual. Furniture for your stand can be ordered through our preferred contractor Event Exhibitions Services. As an exhibitor, you will have been sent a link to an online portal to order all requirements for your stand. You can check this in the services section of this manual.
Furniture orders should be made in advance as only limited stock will be available to order and pay for during the build-up days. Furniture will be delivered to your stand during the build-up days of the show. We highly recommend someone is present to receive delivery of your furniture as lost or missing items cannot be replaced and you will be charged for loss of items.

Insurance
Contractors are required to carry out and maintain public liability insurance in respect of the contractor’s liability for death or injury to any persons, or loss or damage to property arising from the performance of the services in a sum not less than HK$10 million for any single claim, unlimited in aggregate. In addition, a contractor should carry out and maintain valid and adequate insurance against theft, fire, damage to property, accidents, natural calamities, acts of God and such other risks normally insured against by a reasonable person in the position of the contractor, or as the Organiser may require, in connection with, inter alia, contractor’s property (including all equipment, fittings, furniture, materials and other facilities used or provided by the contractor in the performance of the Services) and the performance of the services.
Interactive
Informa prides itself on delivering experiential events to its visitors. Creating inspiring and engaging experiences within your space is key to having a successful event; most exhibitors have highly engaging activity to capture visitors’ attention, so you need to make sure you do too. Make your stand come to life by offering activities or demonstrations that visitors can get involved in and be inspired to find out more.
IT
Please be aware that Wi-Fi is provided in the halls for visitor browsing only. If your stands require internet, this must be ordered direct as the Wi-Fi is not appropriate for stands.
Lifting equipment
Trollies and manual handling equipment will not be available for general use at the venue; please make your own arrangements and ensure you have enough manpower to transfer goods to your area. Be aware that some of the exhibition stands are a fair distance from entrances.
Please contact our exclusive logistics contractor Exhibition Freighting if you have any specific needs. Only lifting equipment from Exhibition Freighting are permitted to enter the halls.

Rigging
All rigging requirements are ordered through The Messe, Berlin. You are not permitted to appoint your own contractor for any rigging services. Please contact the details below to order all your rigging requirements.
Please use the BBWF – Request Rigging Access to place your order and send the completed form to fair-service@messe-berlin.de by the 22nd September.
Security
Please do not leave briefcases/handbags unattended on your stand. All bags should be place out of general view inside cupboards or office areas, unattended briefcases, backpacks and packages will pose and be treated as a security risk. Exhibitors should not leave their stands unattended.
In case you observe some unusual incident (i.e. unattended luggage, suspicious persons, a theft…), please contact the security department immediately by phone +49 30 3038-4100 or address the next security guard directly.
Service Desk
A service desk for onsite orders will be in the Messe Berlin halls. This will be open for the duration of build and the event., exact location to be confirmed.
Storage
Unless specified, there will be no storage facilities available at the event so please make your own arrangements for packing cases, boxes and excess literature.
Sustainability
The Messe Berlin and Broadband World Forum are working together to optimize the sustainability of this event. The Broadband World Forum events team are striving to make the event as green as possible, using water coolers, locally sourced food and recyclable materials where possible throughout the event.
The Messe Berlin itself places a high priority on protecting nature and conserving natural resources. The company makes every effort to use resources sparingly and practice environmental protection based on the principle that economic thinking and actions can achieve environmental benefits.
For example, there are 2 combined heat and power plants on the Messe Berlin grounds are an economical, environmentally-friendly energy source. The Messe Berlin also have selected a waste disposal company that has ISO 9001 certification and uses state-of-the-art waste disposal systems and equipment. Vehicles
For any vehicle being brought into the exhibition, you will need to seek approval from your Operations Manager (Leah or Rebecca). You will also need to provide us with H&S pack (please see the Health and Safety tab) and as per the Messe restrictions, all vehicles must have a maximum gross axle weight rating of 8 t

Vehicles with internal-combustion engines may only be exhibited in the halls on condition that:
The contents of the vehicle’s tanks shall be reduced to the minimum level required to drive the vehicle into and out of the area and, wherever possible, the tank caps shall be locked. Depending on the event in question and the location of the exhibit, other safety measures may be required, such as rendering fuel tanks ineffective, disconnecting batteries and/or the posting of security guards.

Wristband Policy for Built and Break
People engaging in booths erection and dismantling in exhibition are required to redeem a wristband at a Wristband Redemption Counter, the wristband must be worn on the wrist.
People must present the wristband to the security guards at the entrance to gain access into hall. Failure to present valid wristband at the entrance or in halls will not be allowed to work in the halls and will be asked to leave the halls immediately.
The Wristband Redemption Counter is operated on both built up and breakdown days.
